Human attention is expensive

What's your time worth?

Engineering consultants, design-build teams, estimators, and operations teams should not spend their best hours reconstructing the same request across calls, inboxes, and spreadsheets.

The manual loop

  1. Find Vendors
  2. Call
  3. Leave voicemail
  4. Repeat scope
  5. Wait
  6. Chase quotes
  7. Search email
  8. Update coworkers
  9. Reconstruct the Job later

Create the RFQ once. Send it to the Vendors you choose. Keep the responses organized around the same work.

What could your team be doing with those hours instead?

  • Engineering
  • Designing
  • Quoting another customer
  • Running the project
  • Winning another Job
  • Going home

Participation without portal adoption

They don't need a Vendinav account to work with you.

A secure email link brings each outside participant to the room meant for them. They can do the work now; an account is optional.

Vendor participation

Invite a Vendor into one private RFQ room

Vendors can respond through a secure link without creating an account. They can review the RFQ, exchange messages and files, submit a quote, and update fulfillment after acceptance.

  1. 01Email invitation
  2. 02Secure Vendor room
  3. 03Messages + files
  4. 04Quote + Accepted Work

Customer participation

Give a customer one clear place to collaborate

Customers can use a secure customer room without creating an account. They can provide the request, files, messages, and quote feedback while your internal sourcing stays private.

  2. 02Request + files
  3. 03Messages

Private rooms by design

Every conversation stays in its own lane.

The Buyer sees the connected sourcing record. Each Vendor sees only the room opened with that Vendor, and the customer sees only the customer-facing room.

Internal sourcing

Jobs, supplier RFQs, private Vendor rooms, supplier quotes, and supplier pricing.

Your customer cannot see the supplier RFQs, rooms, quotes, or pricing behind the response.

Multi-location operations

One Company. Every shop connected.

Run multiple shops, branches, offices, or operating Locations from one Vendinav Company. Locations are peer operating units, so each operation keeps its own identity without forcing one shop above the others.

Company Admins retain Company-wide visibility, while Members see the operational Calendar for their assigned Location. Admins can route an RFQ between peer Locations without copying the work or changing its delivery/work address. For Vendor companies, each Vendor Location can maintain its own Storefront and service territory.

A Location Storefront can present that operation's category, specialties, hours, contact details, and business identity. Company Admins also maintain a Company-managed employee business Role catalog so names appear with consistent job-title context. Those business Roles help people understand who they're working with; they do not define permissions.

Add as many Locations as your operation needs. Unlimited Company Locations and unlimited seats do not consume room capacity.

Unlimited Company seats

Bring the estimators, project managers, purchasing teams, operations staff, engineers, and other employees who coordinate the work.

No per-employee charge

We don't charge per employee. Add the whole team without buying another seat for every person.

The Vendinav Vendor network

Bring your Vendors. Gain the whole network.

Import the suppliers your company already works with and keep those relationships ready for future RFQs. When you need something outside your list, source from approved Vendors already available across the Vendinav network. If the right Vendor still isn't there, invite one directly through a secure RFQ link.

Stop rebuilding a Vendor list from scratch every time a new category appears.

Local Vendor sourcing

Find Vendors around the work—not just around headquarters.

Vendor Navigator can source around the RFQ's actual delivery / work address. Choose 25, 50, 100, or 250 miles—or Any distance when the work calls for it.

Vendors define how far each operating Location serves. Buyers choose how far to source. Vendors choose how far they serve. Vendinav connects the overlap.

Sourcing a new category?

Search the Vendinav network first. If the category isn't covered yet, invite the Vendor you want.

Already have a Vendor list?

Bring it with you. Vendinav reviews the uploaded list and adds accepted Vendors to your Company Vendor list so your team starts with the relationships it already uses—and can source beyond them.

Shared Vendor discovery does not expose another company's private conversations, quotes, notes, or pricing.

Internal team coordination

All your coordination in one place.

Keep Company conversations connected to the Customer Rooms, Jobs, RFQs, Vendor Rooms, Accepted Work, and fulfillment your team is already coordinating. Share the work itself instead of sending screenshots, forwarding email chains, or explaining where the record lives.

Ask User

Ask the person responsible.

On supported work with a current responsible teammate, Ask User opens or reuses the appropriate internal conversation and carries that work into it. If no active responsible teammate is assigned, Ask User is unavailable. Vendinav does not guess who should receive the question.

Share with Team

Share the work, not a screenshot of the work.

Send the current Customer Room, Job, RFQ, Vendor Room, Accepted Work, or fulfillment reference to an authorized coworker or existing internal group. A work reference doesn't grant access the recipient does not already have. Each person in a group is authorized independently before they can open the referenced work.

Internal stays internal

Internal team conversations stay internal even when they reference a Customer Room or Vendor Room. Customers and Vendors do not join that Company conversation, and internal messages are not mirrored into the external room.

Unlimited seats

Bring the whole Company team without per-seat pricing.

Company Messenger is included

Internal Company Messenger does not consume procurement rooms.

Capacity follows external work

You pay for room capacity—not headcount.

Attention, not another inbox

Vendinav keeps watch so you don’t have to.

You shouldn’t have to stare at a dashboard waiting for someone to respond. When important activity happens, Vendinav surfaces it in-product and can send targeted email updates to the right participant—bringing them back to the exact room or record when it needs attention.

In-product notification + targeted email → exact room or record

  • New RFQ

New work is surfaced immediately, and the Vendor can be notified by email when the workflow requires their attention.

  • New question or message

When a Vendor or customer replies, Vendinav can bring the right participant back to the exact private room instead of making them repeatedly check the dashboard.

  • Quote needs attention

When quote activity changes the next action, Vendinav surfaces it for the Buyer and can bring them back to the relevant Vendor room.

  • Customer replied

Customer activity returns the sourcing team to the connected customer room while private supplier work stays separate.

Your deal stays your deal

Vendinav doesn't stand between you and your money.

Vendinav coordinates the request, conversations, quotes, decisions, Accepted Work, and fulfillment. Payment for the underlying goods or services happens directly between the businesses involved, outside Vendinav, using the payment terms and methods they agree on.

No escrow delays

Vendinav does not hold the underlying transaction funds while the businesses wait for a marketplace payout or release.

No percentage taken from your deal

Vendinav does not take a percentage of the underlying payment between the businesses doing the work. Vendinav's own plan pricing is separate from the commercial transaction between businesses.

Your terms. Your relationship.

The businesses involved determine their own payment terms, payment method, invoicing arrangements, and commercial obligations directly with each other.

Free, explained plainly

What's the catch?

Vendinav Free is not a hidden credit-card trial. Use the current monthly room capacity on real work. If you use it all, existing work stays intact; only another room-consuming external conversation waits until the next Free monthly reset or a Premium upgrade. Upgrade when you need more. Stay Free when you don't.

Upgrade when you need more. Downgrade when you don't. Returning from Premium to Free preserves your existing Jobs, RFQs, rooms, Vendors, files, history, roles, and settings. If current-period usage is already over Free capacity, only another external room is blocked until the next Free monthly reset or a Premium upgrade.

A room is one external quotation relationship between your company and a Vendor or customer. Jobs and RFQs do not consume room capacity.

Plan features, limits, and availability may change prospectively. Material changes will be communicated in accordance with the Terms. No retroactive charges.

Straight answers

What teams ask before they start.

The product boundaries are deliberate: private participation, connected internal records, and a permanent Free plan with a clear capacity limit.

Does Vendinav require an ERP or CRM?

No. Vendinav is a coordination layer that works alongside your existing ERP, CRM, accounting, inbox, estimating, and scheduling systems. You do not have to replace them to start.

Do I need a credit card, implementation fee, or annual contract to start Free?

No. Starting on Free requires no credit card, no implementation fee, no mandatory implementation project, and no annual contract or paid commitment. Submit the Company application; Vendinav reviews it before creating the account.

Do my Vendors need Vendinav accounts?

No. A Vendor can open the secure invitation link, use the private RFQ room, exchange messages and files, quote, and update Accepted Work without creating an account.

Do my customers need Vendinav accounts?

No. Where the secure customer-room workflow is used, a customer can open the link, provide the request, exchange messages and files, and interact with the customer quote without becoming a full Vendinav user.

Are Vendor conversations private from one another?

Yes. Each invited Vendor receives a separate room for that RFQ. A Vendor cannot see another Vendor's messages, files, quote revisions, or pricing.

Can my customer see my supplier quotes?

No. The customer room and internal sourcing are separate visibility lanes. Supplier RFQs, Vendor rooms, quotes, and pricing remain internal.

Can I bring my existing Vendor list?

Yes. Your list can be cleaned, normalized, categorized, deduplicated, and loaded into the company network you use for invitations and sourcing.

Can Vendinav support multiple operating Locations?

Yes. Add unlimited Company Locations and run multiple shops, branches, or offices in one Company. Locations are peers, no Main or Primary Location is required, Company Admins retain Company-wide visibility, and Members see the operational Calendar for their assigned Location.

Can work be routed between Company Locations?

Yes. A Company Admin can route an RFQ to another active Location in the same Company. The RFQ remains the same connected record, consumes no additional room, and keeps its delivery/work address and Vendor sourcing origin unchanged.

Can my Company keep private Vendor notes?

Yes. Authorized Company users can keep private Vendor intelligence such as a pinned summary, ratings, relationship status, tags, and internal notes. The Vendor, customers, anonymous visitors, and other Companies cannot see that private Company context.

Can each Vendor Location have its own Storefront and service territory?

Yes. Each Vendor Location can represent its own operation with its Storefront, category, specialties, hours, contact details, and service territory while remaining part of the same Company.

How does local Vendor sourcing work?

Vendor Navigator uses the RFQ delivery / work address as the sourcing origin. Buyers can choose 25, 50, 100, or 250 miles, or Any distance, while Vendor Locations define how far they serve.

Does Vendinav charge per employee?

No. Vendinav includes unlimited Company seats with no per-employee price. Internal Company Messenger does not consume procurement rooms; commercial capacity is based on external quotation rooms, not headcount.

What does Ask User do?

On supported work with a current responsible teammate, Ask User opens or reuses the appropriate internal conversation with that work attached. If no active responsible teammate is assigned, Ask User is unavailable and Vendinav does not guess a recipient.

What can I share with my team?

Share with Team can carry a Customer Room, Job, RFQ, Vendor Room, Accepted Work, or fulfillment reference to an authorized coworker or internal group. The reference does not grant access, and every group participant's work authority is evaluated independently.

Can customers or Vendors see internal Company Messenger conversations?

No. Internal Company conversations remain internal even when they reference a Customer Room or Vendor Room. Internal messages are not mirrored into the external room.

What counts as a room?

A room is one external quotation relationship between your company and one Vendor or customer. Jobs and RFQs do not consume room capacity.

What's the catch with Vendinav Free?

Free has a monthly room allowance rather than a hidden trial clock. When the allowance is used, existing work stays intact and only another external room is blocked until the next Free monthly reset or a Premium upgrade.

What happens if I downgrade from Premium to Free?

Your existing Jobs, RFQs, rooms, Vendors, files, history, roles, and settings are preserved. If current-period usage is already above Free capacity, only another external room is blocked until the next Free monthly reset or a Premium upgrade.

What happens after I accept a quote?

The selected outcome becomes Accepted Work. Its relevant fulfillment mode, status or tracking, dates, and completion remain connected to the original requirement and Calendar handoff.

Does Vendinav take a percentage of my Vendor or customer payments?

No. Vendinav does not take a percentage of the underlying commercial transaction between businesses. Payment for the goods or services happens directly between the parties outside Vendinav. Vendinav's own subscription or platform pricing is separate.

Does Vendinav hold payments in escrow?

No. Vendinav coordinates the workflow around requests, quotes, Accepted Work, and fulfillment, but it does not hold the underlying transaction funds in escrow. The businesses handle payment directly according to their own agreement.

Does Vendinav send email notifications?

Yes. Vendinav surfaces important activity through in-product notifications and can send targeted email updates for eligible workflow activity, bringing the right participant back to the exact room or record.

Do I need to keep Vendinav open all day?

No. You do not need to keep the dashboard open. Vendinav surfaces activity in-product and can send targeted email updates for eligible workflow activity, bringing you back to the relevant room or record when it needs attention.

Start with the next request. Bring your Vendors—and source beyond them.

Use the permanent Free plan to connect the request, private rooms, quotes, Accepted Work, and fulfillment—then add capacity when your operation needs it.
