The product boundaries are deliberate: private participation, connected internal records, and a permanent Free plan with a clear capacity limit.
Does Vendinav require an ERP or CRM?+
No. Vendinav is a coordination layer that works alongside your existing ERP, CRM, accounting, inbox, estimating, and scheduling systems. You do not have to replace them to start.
Do I need a credit card, implementation fee, or annual contract to start Free?+
No. Starting on Free requires no credit card, no implementation fee, no mandatory implementation project, and no annual contract or paid commitment. Submit the Company application; Vendinav reviews it before creating the account.
Do my Vendors need Vendinav accounts?+
No. A Vendor can open the secure invitation link, use the private RFQ room, exchange messages and files, quote, and update Accepted Work without creating an account.
Do my customers need Vendinav accounts?+
No. Where the secure customer-room workflow is used, a customer can open the link, provide the request, exchange messages and files, and interact with the customer quote without becoming a full Vendinav user.
Are Vendor conversations private from one another?+
Yes. Each invited Vendor receives a separate room for that RFQ. A Vendor cannot see another Vendor's messages, files, quote revisions, or pricing.
Can my customer see my supplier quotes?+
No. The customer room and internal sourcing are separate visibility lanes. Supplier RFQs, Vendor rooms, quotes, and pricing remain internal.
Can I bring my existing Vendor list?+
Yes. Your list can be cleaned, normalized, categorized, deduplicated, and loaded into the company network you use for invitations and sourcing.
Can Vendinav support multiple operating Locations?+
Yes. Add unlimited Company Locations and run multiple shops, branches, or offices in one Company. Locations are peers, no Main or Primary Location is required, Company Admins retain Company-wide visibility, and Members see the operational Calendar for their assigned Location.
Can work be routed between Company Locations?+
Yes. A Company Admin can route an RFQ to another active Location in the same Company. The RFQ remains the same connected record, consumes no additional room, and keeps its delivery/work address and Vendor sourcing origin unchanged.
Can my Company keep private Vendor notes?+
Yes. Authorized Company users can keep private Vendor intelligence such as a pinned summary, ratings, relationship status, tags, and internal notes. The Vendor, customers, anonymous visitors, and other Companies cannot see that private Company context.
Can each Vendor Location have its own Storefront and service territory?+
Yes. Each Vendor Location can represent its own operation with its Storefront, category, specialties, hours, contact details, and service territory while remaining part of the same Company.
How does local Vendor sourcing work?+
Vendor Navigator uses the RFQ delivery / work address as the sourcing origin. Buyers can choose 25, 50, 100, or 250 miles, or Any distance, while Vendor Locations define how far they serve.
Does Vendinav charge per employee?+
No. Vendinav includes unlimited Company seats with no per-employee price. Internal Company Messenger does not consume procurement rooms; commercial capacity is based on external quotation rooms, not headcount.
What does Ask User do?+
On supported work with a current responsible teammate, Ask User opens or reuses the appropriate internal conversation with that work attached. If no active responsible teammate is assigned, Ask User is unavailable and Vendinav does not guess a recipient.
What can I share with my team?+
Share with Team can carry a Customer Room, Job, RFQ, Vendor Room, Accepted Work, or fulfillment reference to an authorized coworker or internal group. The reference does not grant access, and every group participant's work authority is evaluated independently.
Can customers or Vendors see internal Company Messenger conversations?+
No. Internal Company conversations remain internal even when they reference a Customer Room or Vendor Room. Internal messages are not mirrored into the external room.
What counts as a room?+
A room is one external quotation relationship between your company and one Vendor or customer. Jobs and RFQs do not consume room capacity.
What's the catch with Vendinav Free?+
Free has a monthly room allowance rather than a hidden trial clock. When the allowance is used, existing work stays intact and only another external room is blocked until the next Free monthly reset or a Premium upgrade.
What happens if I downgrade from Premium to Free?+
Your existing Jobs, RFQs, rooms, Vendors, files, history, roles, and settings are preserved. If current-period usage is already above Free capacity, only another external room is blocked until the next Free monthly reset or a Premium upgrade.
What happens after I accept a quote?+
The selected outcome becomes Accepted Work. Its relevant fulfillment mode, status or tracking, dates, and completion remain connected to the original requirement and Calendar handoff.
Does Vendinav take a percentage of my Vendor or customer payments?+
No. Vendinav does not take a percentage of the underlying commercial transaction between businesses. Payment for the goods or services happens directly between the parties outside Vendinav. Vendinav's own subscription or platform pricing is separate.
Does Vendinav hold payments in escrow?+
No. Vendinav coordinates the workflow around requests, quotes, Accepted Work, and fulfillment, but it does not hold the underlying transaction funds in escrow. The businesses handle payment directly according to their own agreement.
Does Vendinav send email notifications?+
Yes. Vendinav surfaces important activity through in-product notifications and can send targeted email updates for eligible workflow activity, bringing the right participant back to the exact room or record.
Do I need to keep Vendinav open all day?+
No. You do not need to keep the dashboard open. Vendinav surfaces activity in-product and can send targeted email updates for eligible workflow activity, bringing you back to the relevant room or record when it needs attention.
